How to use PhotonFile Teams

Teams give you a shared workspace for Relay transfers, team Vaults, member roles, and access administration.

When to use Teams

Use Teams when more than one person needs a shared PhotonFile context. A team can be used for client work, a department, a company workspace, or any group that needs controlled Relay and Vault access.

Set up a team

  1. 1. Open Teams. Sign in, open the dashboard, then choose Teams.
  2. 2. Create or select a team. Use a clear team name, such as a company, client, or project name.
  3. 3. Choose the same-region member option if needed. If enabled, new members must use the same home region as the team.
  4. 4. Save team settings. Team settings apply to member management, Relay transfers, and team Vault workflows.

Relay only

Allows a member to use team Relay transfer context without managing teammates.

Admin

Allows member management for the selected team.

Org Admin

Allows broader team administration, including higher-impact team settings.

Invite and manage members

  1. 1. Select the team. The selected team drives all member and vault access actions on the page.
  2. 2. Enter the teammate's email. PhotonFile sends an invite link for that team.
  3. 3. Pick a team role. Start with the least access the person needs, then expand later if needed.
  4. 4. Review member status. Invited members become active after accepting the invitation.
  5. 5. Remove access when work ends. Use the member list to update roles or remove members.

Team Vault access is separate

Team membership does not automatically open every team Vault. Grant access to each vault intentionally, then choose one of the vault-level permissions: Read only, Read and write, or Manage access.

Read only

Browse and download from the selected vault.

Read and write

Upload, edit, move, and download vault content.

Manage access

Manage vault membership and vault permissions.

Leaving a team

A member can leave a team when they no longer need access. Leaving removes team context for Relay and team settings. Owners should transfer responsibilities before deleting workspaces.

Deleting a team

Team deletion is a high-impact action. Review members, transfers, and team Vaults before deleting a workspace.
